SharePoint Site Storage Quota per Template

Define a SharePoint storage quota for each Microsoft Teams Template in nBold.

You can now define a SharePoint storage quota for each Microsoft Teams Template in nBold.


This quota will then apply automatically to every team created from that template, helping you control storage usage across different business processes (projects, deal rooms, client workspaces, etc.).

This feature requires a one-time admin setup before quotas can be configured.

Feature Overview

With this capability, you can:

  • Set a maximum SharePoint site storage limit (in GB) per template

  • Apply the limit to all future teams created from that template

  • Ensure consistent storage governance across use cases

  • Prevent uncontrolled growth of SharePoint sites

  • Adapt storage strategy per department (HR, Sales, PMO, Client Delivery…)

Once activated, the storage slider becomes available directly inside the Compliance tab of each template.

Prerequisites

To enable storage quota management:

  • You must be a Microsoft 365 Global Administrator

  • You must grant nBold a dedicated permission to check if storage is set to manual

  • You must switch SharePoint storage management from Automatic to Manual in the SharePoint Admin Center

This setup only needs to be completed one time per tenant.

Step-by-Step — Enable Storage Quota Management

Step 1 — Grant nBold Permissions

Go to nBold, inside the template section and open the desired template:

  1. Go to Compliance Tab

  2. Click Grant Permissions

  3. A dialog will open requesting consen

  4. Approve the permissions on behalf of the organization

This allows nBold to verify whether SharePoint storage is configured in manual mode.


Step 2 — Set Storage to Manual in the SharePoint Admin Center

  1. Go to the SharePoint Admin Center

  2. Navigate to: Settings → Storage Limit

  3. Change the setting from Automatic to Manual

  4. Save

This is required so nBold can apply per-site storage quotas.

Step 3 — Confirm Policy in nBold

Back in nBold:

  1. Return to the template → Compliance tab

  2. You should now see:

    • ✔ Permissions granted

    • ✔ Storage setting switched to manual

  3. Click Confirm policy enabled

Once confirmed, quota settings become available for all templates.

Configure Storage Quota for a Template

Once the setup is enabled:

  1. Go to the Compliance tab of any template

  2. Under SharePoint Storage Limit, move the slider or type the desired quota (in GB)

  3. Save the template

This limit will apply to all teams created from this template moving forward.

Tips & Best Practices

  • Different quotas per business process:
    Use lower limits for lightweight use cases (HR internal teams) and higher limits for file-heavy ones (Construction projects, Legal deal rooms).

  • Quota changes do not retro-apply:
    Like all template governance settings, quota changes apply only to future teams, similar to other mechanisms described in your template behaviors.

  • Check storage usage:
    You can monitor each team’s SharePoint storage directly in the Bulk section in side nBold (See Bulk overview) and in the SharePoint Admin Portal.

  • Governance consistency:
    Storage quota now complements other compliance and governance features such as sensitivity labels, privacy enforcement, lifecycle policy, and membership policy. See Governance Policies
